The Art of Anticipating Guest Needs

I recently wrapped up a corporate retreat for about 50 guests, and it got me thinking about how crucial it’s to anticipate what your guests might need before they even ask. For this event, we set up a ‘refresh station’ with snacks and drinks right outside the breakout rooms, and it was a hit! What strategies do you all use to enhance guest experience and stay one step ahead?

It’s like playing chess — thinking a few moves ahead can really pay off! One strategy I love is keeping a pulse on guests’ body language; when you notice someone looking around for coffee, swooping in with a refill can feel like a superpower! Have you tried incorporating a feedback system during events to catch needs before they arise?

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‍‌‌‌‌‍‌‌‍‌‍‍‌‌‌‌‍‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‌‌‍‌‌‍‌‌‌‌‍‌‌‌‌‌‍‌‌‍‍‍‌‍‌‌‌‍‌‌‌‍‌‌‌‌‌‍‌‌‍‍‌‌

I totally agree about the importance of anticipating needs! At our last event, we placed a suggestion box at the entrance — guests would drop notes with requests they had during the day… It really helped us tailor the experience on the fly.

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‍‌‌‌‌‍‌‌‍‌‍‍‌‌‌‌‍‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‌‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‌‌‌‌‍‍‌‌‌‌‌‌‌‍‌‌‌‌‌‍‌‍‌‌‌‌‌‌‌‌‍‍‌‌

Anticipating needs can feel like having a sixth sense! I’ve found that pre-setting a few common requests — like extra chargers or quiet zones — really helps. It’s all about making guests feel at home without them even having to ask.
